1. Who this page is for
This page covers three different kinds of account deletion:
- Firm account — the subscription account that the Firm holds with Nova System. Only an owner of the Firm can delete the Firm account.
- Staff account — an individual seat inside a Firm account. Removed by the Firm's owner or administrator.
- Individual user account — a personal Aurora login created without a Firm (for example, during a personal trial). Deleted by you from inside Aurora.
2. Deleting from inside Aurora
To delete your individual Aurora account from the mobile app:
- Open Aurora.
- Go to You → Account.
- Tap Delete my account.
- Confirm. We will email you a confirmation. Deletion begins immediately.
3. Deleting from inside Polaris
To delete the Firm account or remove a staff seat from the Polaris desktop:
- Sign in as an owner.
- Open Settings → Account.
- Choose Remove staff member for individual seats, or Close the Firm account for the whole subscription.
- Follow the prompts. Owners must re-authenticate before closing the Firm account.
4. Email request
You can also request deletion by emailing privacy@thenovasystem.com from the email address associated with the account. We may need to verify your identity before processing. Where you are an end user whose information was uploaded to a Firm's account by the Firm, please address your request to the Firm in the first instance.
5. What gets deleted
When an account is deleted, we delete or anonymize the following on our active production systems:
- Profile information (name, email, phone, photo, preferences).
- Authentication credentials and session tokens.
- Device tokens used for push notifications.
- Cached content on devices, where the device contacts our servers after deletion.
- For Firm-account closure: all Customer Data uploaded by the Firm, subject to the thirty-day grace period for export described in the MSA.
6. What we keep, and for how long
We retain limited information after deletion where the law requires it or where it is necessary to defend legal claims. Examples:
- Billing records and tax invoices — kept for the period required by tax and accounting law (typically seven years in Canada).
- Audit logs and security events — kept on a defined retention schedule for security forensics.
- Backups — encrypted backups roll over within a defined window. Deleted data is purged from backups as backups expire.
- Anonymized aggregates — irreversibly de-identified statistics that do not identify any person.
- Records required to comply with legal orders — for example, a litigation hold or a regulator's request.
7. Timeframes
Deletion from active production systems is normally completed within thirty days of your request (and within seven days for individual Aurora deletions). Backups are purged on the next scheduled rollover. We will confirm completion by email if you so request.
8. Effect of deletion
Deletion is irreversible. After deletion, you will not be able to recover Customer Data or account history. If you are a Firm owner, deletion of the Firm account terminates all Authorized User access, including Aurora.
9. Children
If you believe a child under sixteen has been provided to us with personal information in violation of our Privacy Policy, email privacy@thenovasystem.com and we will take prompt steps to delete it.
