Island Bar Privacy Notice

A short, plain-language privacy notice for public visitors who use the Island Bar widget on a firm's website.

1. Who is collecting your information

The firm that operates the website you are visiting collects the information you submit through the Island Bar. That firm is the controller (or "organization" under Canadian law) for the personal information collected from you. Nova System Inc. operates the Island Bar widget for the firm and acts as the firm's service provider (processor) under the Data Processing Addendum.

2. What we collect

  • Information you provide: name, contact details, country of citizenship, age, education and employment background, language scores, intended program, family members, the message you write to the firm, and any documents you upload.
  • Information collected automatically: IP address, approximate location derived from IP, device type, operating system, browser, page where the Island Bar was loaded, timestamps, and how you interacted with the bar.
  • Cookies and similar storage: an essential cookie to remember your session, and (where you opt in) optional analytics.

3. How we use it

  • To respond to your enquiry and connect you with the firm.
  • To generate informational responses through the assistant where you choose to chat.
  • To run eligibility, checklist, and intake features you choose to use.
  • To prevent abuse and protect the Island Bar (for example, rate limits and malware scanning).
  • To improve the Island Bar through aggregated, de-identified analytics.

4. Who sees it

  • The firm operating the website — they see what you submit so they can respond.
  • Nova System — we see the information as we operate the bar on behalf of the firm.
  • Our sub-processors — limited service providers help us host, secure, and operate the bar. The current list is at /legal/sub-processors.
  • Third-party intelligence service providers — where you use the assistant or another intelligent feature, your message is sent to a third-party provider that generates a response. Providers handle your message under their own terms and our agreement with them, and do not use your messages to train their general models.

We do not sell your personal information. We do not share it for cross-context behavioural advertising.

5. International transfers

Your information may be processed in Canada, the United States, the European Economic Area, the United Kingdom, and other regions where our sub-processors operate. Where required, we use safeguards such as Standard Contractual Clauses and the UK International Data Transfer Addendum.

6. How long we keep it

The firm sets how long it keeps the information you submit, based on its own retention practices. Nova System keeps copies for the same period to support the firm. Anonymized aggregates and security logs are kept on the schedules described in the Privacy Policy.

7. Your privacy rights

You may have rights to access, correct, delete, port, or restrict use of your personal information, and to withdraw consent. The firm operating the website is the first contact for your rights — its contact details are on the website. If you cannot reach the firm, or have questions about the Island Bar itself, write to privacy@thenovasystem.com.

8. Children

The Island Bar is intended for adults. We do not knowingly collect personal information from children under sixteen.

9. Cookies

Essential cookies are required for the Island Bar to function. Optional analytics cookies are off by default for visitors in jurisdictions that require opt-in consent. You can adjust your preferences using the cookie controls in the bar (where shown) or via your browser.

10. Changes

We may update this notice. The most current version always applies; the effective date is shown at the top of this page.
