Terms of Service

Agreement

These Terms of Service ("Terms") govern your access to and use of the Meridian platform, the Polaris desktop application, and the Aurora mobile application (collectively, the "Service"), provided by Nova System Inc. ("Nova System", "we", "us"). By creating an account or using the Service, you agree to these Terms.

Who can use the Service

The Service is licensed to Canadian immigration consulting firms and their authorized staff. To use Aurora or Polaris, your firm must have an active Meridian subscription and you must be a member of that firm's staff with a current account in good standing.

Content ownership

Your firm retains all rights to client and case data entered into the Service. Nova System retains all rights to the Service software itself (including the Meridian platform code, the Polaris and Aurora applications, the brand, the AI prompts and pipelines, the documentation, and all related intellectual property).

You grant Nova System a limited license to host, process, transmit, and back up your content for the sole purpose of providing the Service.

Subscription and billing

Polaris and Aurora are licensed under the Meridian subscription held by your firm. Pricing, billing cadence, and trial terms are governed by the master service agreement (MSA) between your firm and Nova System. The Aurora mobile app itself is free on the App Store; access requires a valid firm subscription.

AI features and disclaimers

The Service includes AI-powered features (case intelligence, document extraction, draft generation, classification). AI output is informational and not a substitute for the professional judgement of a licensed immigration consultant or lawyer. You are responsible for verifying any AI-generated content before relying on it in client matters, filings, or submissions to government agencies.

AI features may produce inaccurate, incomplete, or biased results. Always cross-check against authoritative IRCC and provincial sources before acting.

Service availability

We strive for high availability but do not guarantee uninterrupted access. The Service is provided "as is" and "as available". Scheduled maintenance and emergency fixes may occur with limited or no notice.

Termination

You may stop using the Service at any time. We may suspend or terminate your account if you breach these Terms, if your firm's subscription lapses, or if your continued use creates legal or security risk for the Service.

You may delete your individual account at /account-deletion. Firm-level account deletion is performed by your firm's admin or by emailing support@thenovasystem.com.

Limitation of liability

To the maximum extent permitted by law, Nova System is not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost data, or lost goodwill, arising from your use of the Service. Our aggregate liability under these Terms is limited to the fees your firm paid us in the 12 months preceding the event giving rise to the claim.

Governing law

These Terms are governed by the laws of the Province of British Columbia and the federal laws of Canada applicable therein. Disputes will be resolved in the courts of Vancouver, British Columbia.

Changes

We may revise these Terms from time to time. Material changes will be notified in-app and by email to your firm's admin at least 30 days before they take effect.
